Charleston Lake Rental Cottages BOOKING & CANCELLATION PROCEDURES
1) *Check website to choose your cottage and its available dates (suggest requesting 2 or 3 min, in case your first choice has been taken).
2) *Contact agentto request your booking Confirmation # for your cottage dates (dates can be pending while waiting to hear back from a previous request, so even if a date shows as open, it could be in the process of booking; agent will advise). Again, we suggest that you give us your 1st, 2nd and maybe a 3rd date or cottage choice. The cottages book so fast that sometimes by the time you get back to us with another choice if first or second ones were taken, the third one may be taken as well! *Please note that there can be a time lag from a booking to confirmation on the Availability Calendar, so even if one time slot LOOKS open, it might not be. So give us as many possible dates as you can so we can lock in dates for you asap.
3) *Use your assigned Booking Confirmation # to fill out the Reservation Form completely. Date and sign, scan, save, then submit .pdf to agent via email. PLEASE do not send a cell phone photo. Sometimes they are fuzzy and too difficult to read, and they take up a LOT of ink to print them as a jpg. If the agent has to keep asking for one they can read, your time slot may be taken by someone else!
4) *After you have been given a Conf # and sent form to agent, please e-transfer the $300 Non-refundable Booking deposit to the agent's email. This is required w/in 2 days of Conf #, via e-transfer to agent’s email.
5) *Check your bank to confirm deposit has cleared.
6) *Final balance is due again via e-transfer, by 60 days prior to arrival date.
Cancellations: Cancellation must be made via email by 90 days prior to scheduled arrival, or $300 per rental week will be charged to card. Cancellation is not complete unless ACKNOWLEDGED by agent via email. *We suggest you set a calendar reminder to be sure you aren't charged this service fee. *If we have to charge your card and are then able to re-rent for those dates, we will credit your card account.
NOTE: Again, jpg or cell phone photos of these forms will NOT BE ACCEPTED. They are often fuzzy and illegible to us even tho they might look fine to you. Also, it causes ink to cover the entire page and uses way too much ink to print. (Please note cottage deposits are $300 per week, despite what previous written forms may say.)
How to save, fill out, save again, then send both to agent: 1) Under Documents, make new folder (I named mine "Cottage Rental", then can be used in subsequent years). 2) Click on above link to Reservation Form and follow these directions (after download and installation of Adobe Reader program if needed): 3) Name and save blank PDF form (I named mine Blank Reservation) to the above Cottage Rental folder. 3) Open each blank .pdf or .doc and fill in the fields with your information. OR you can scan, save and send (below). 4) Then, "Save as" another PDF named My (year) Reservation Form, in the Cottage Rental folder you made above. 5) Then email new .pdf or .doc to agent as attachment, whatever you named it. OR 1) Print each blank saved PDF, fill out, sign, and scan. 2) Save to recognizable folder and email back to us as PDF attachments to your email
